We retain personal information only for as long as necessary to fulfill the purposes for which it was collected — including responding to inquiries, delivering contracted services, maintaining business records and satisfying legal, accounting or reporting requirements.

When information is no longer required, it is securely deleted or anonymized. Inquiry data from prospective clients who do not proceed with an engagement is periodically reviewed and removed when it is no longer needed.

Kyros Digital Design operates under strict compliance standards that forbid the unauthorized selling, renting, trading or sharing of user credentials or personal information with third parties. We do not sell your personal information under any circumstances.

We may share limited information only with trusted service providers who assist us in operating our business (such as secure hosting, email and communications infrastructure), and only to the extent necessary for them to perform those services on our behalf. These providers are contractually obligated to keep your information confidential and secure.

We may also disclose information where required by law, regulation, legal process or enforceable governmental request, or to protect the rights, property or safety of Kyros Digital Design, our clients or others.

Due to the highly customized nature of digital services and engineering builds, each project requires dedicated strategy, planning, architecture and resource allocation specific to the client. Once engineering, design or configuration work has been performed, that time and expertise cannot be recovered or resold.

For this reason, refunds and cancellations are governed by a structured evaluation framework rather than an open-ended refund guarantee.

Custom project deposits are eligible for a structured 14-day evaluation or cancellation period, beginning on the date the deposit is received, prior to extensive engineering work beginning.

• Within 14 days and before extensive engineering work begins: you may cancel your project and request a refund of your deposit. Any costs already incurred for discovery, planning, consultation or third-party resources procured on your behalf may be deducted and will be itemized transparently.
• After extensive engineering work has begun: deposits become non-refundable, as they have been applied to the custom work, resources and time dedicated to your project — even if the request falls within the 14-day window.
• After the 14-day period: deposits are non-refundable. Work completed to date will be invoiced according to your project agreement, and any completed deliverables will be provided to you upon settlement.

Before extensive engineering work begins, we will notify you that the project is moving into the active build phase so you always know where your project stands within this framework.

• Automated voice agents & AI automations: setup, configuration and integration fees follow the 14-day evaluation framework above. Recurring subscription, hosting or usage-based fees may be cancelled at any time going forward; fees for a billing period already started or usage already consumed are non-refundable.
• Design consultations: consultations may be rescheduled or cancelled with at least 24 hours' notice. Consultations that have already taken place are non-refundable, as the time and expertise have been delivered.
• Third-party costs: fees paid to third parties on your behalf (such as telephony numbers, software licenses, domains or API usage) are non-refundable once incurred.

All formal refund requests or project cancellation claims must be formally submitted in writing directly to nathan@kyrosdigital.design. Verbal requests, phone calls, text messages or social media messages do not constitute a formal request.

To help us process your request promptly, please include:

• Your full name and business name
• The project name or invoice reference
• The date your deposit or payment was made
• A brief description of the reason for your request

We will acknowledge your written request within two (2) business days and provide a final determination within ten (10) business days. Approved refunds are issued to the original payment method, and processing times may vary depending on your financial institution.

Specific terms in a signed project agreement or statement of work take precedence over this general policy where they differ. We may update this policy from time to time; changes will be posted on this page with a revised effective date and will not apply retroactively to deposits already received.
